1. General Information

These Terms and Conditions apply to all bookings and attendance at Wimbledon School Holiday Club. By enrolling your child, you agree to these terms.

2. Bookings & Payments

  • Places are subject to availability and must be booked in advance.

  • Full payment must be made at the time of booking (unless otherwise agreed).

  • To be eligible for the ‘Sibling Discount’, ensure that children are booked at the same time. The discount will not be applied retrospectively,

  • Booked sessions are non-refundable (this includes sessions missed due to illness or a change of plans); please notify WSHC in the case of exceptional circumstances.

  • Late bookings may be accepted, subject to availability.

  • We do not currently accept tax-free childcare and childcare vouchers.

3. Attendance & Punctuality

  • Parents/carers must drop off and collect children at the agreed times.

  • Adjustment to session times cannot be made unless there are exceptional circumstances,

  • Late pick-ups may result in additional charges.

  • Only authorised individuals (listed on the registration form) may collect children.

4. Health & Safety

  • Children aged 10-11 may only walk home alone if parental consent has been provided.

  • Parents must inform us of any medical conditions, allergies, or additional needs before attendance.

  • In case of illness, children should not attend until they are fully recovered. A child with vomiting and / or diarrhoea should not attend until they have had 48 hours clear of symptoms.

  • If a child becomes unwell during the session, parents will be contacted for collection.

  • First aid will be administered by trained staff, if required.

5. Behaviour & Conduct

  • All children are expected to follow club rules and respect staff and peers.

  • We promote a positive and inclusive environment; bullying or disruptive behaviour will not be tolerated.

  • If a child is unable to follow our club rules, we may ask parents to withdraw them from the club.

6. Special Educational Needs & Disabilities (SEND)

  • We aim to accommodate children with SEND and provide necessary support.

  • Parents are encouraged to discuss their child’s specific needs with us before booking.

7. Cancellation & Refund Policy

  • Booked sessions are non-refundable, unless there are exceptional circumstances.

  • In the rare event of club closure (e.g., due to unforeseen circumstances), a credit or refund will be offered.

8. Personal Belongings

  • We are not responsible for lost, stolen, or damaged items.

  • Children should not bring valuables, including mobile phones or electronic devices.

9. Data Protection & Privacy

  • We comply with data protection laws and ensure that personal information is stored securely.

  • Information will only be used for club administration and will not be shared without consent.

10. Photography, Marketing and the Internet

  • We may use images of children attending our club in future marketing. If you do not wish your child to appear in future marketing materials, please inform us.

11. Emergency Procedures

  • In the event of an emergency, parents will be contacted immediately.

  • If necessary, emergency medical treatment will be sought.
